1. Introduction
AQUA VISTA RENTALS ΜΟΝΟΠΡΟΣΩΠΗ Ι.Κ.Ε. ('we', 'our', or 'us') is the controller for the personal data described in this policy. It explains how we process information when you use our listing-specific conversational booking concierge or our website. We are based at DIMITRIOU GOUNARI 227, GLYFADA / ATTIKIS, 16674, Greece.
2. Information We Collect
For concierge requests, we process AI chat messages and stated requirements; the requested listing, dates and guest details; and source-check evidence about public availability and price. To arrange and administer a booking, we process your name, email address, phone number, order reference and payment reference. Aqua Vista Rentals does not collect or handle card data: card payment is entered on the myPOS-hosted page. We may also collect technical and cookie data described below.
3. How We Use Your Information
We use this information to understand your request, check the identified property's current availability and complete stay price, prepare and communicate a quote, process and verify payment status, arrange the stay, answer queries, keep transaction records, prevent misuse or fraud, and meet legal and accounting obligations. If you start a booking but do not complete the payment, we may send you up to two emails about that specific stay on the basis of our legitimate interest: a reminder about 3 hours later and a one-time offer about 24 hours later; no further reminders follow. For a paid booking, we send a short reminder the day before check-out and, after the stay, one thank-you email with a one-time discount for your next booking and a few homes you may like. You can unsubscribe from these offer emails (the reminder about an unfinished booking, the offer and the thank-you) at any time with the link at the end of each one; emails about your bookings keep coming. We use marketing information only where the required consent or another lawful basis applies.
4. Legal Basis for Processing (GDPR)
Under the GDPR, our principal bases are performance of a contract or steps at your request before a contract, compliance with legal obligations, and our legitimate interests in operating a secure concierge, keeping appropriate records, improving the service and preventing fraud. Where processing relies on consent, you may withdraw it without affecting earlier lawful processing.
5. Information Sharing
We use service providers including OpenAI for AI-assisted chat, myPOS for hosted payments, availability and reservation technology providers, and email infrastructure for communications. We may share booking details necessary to arrange the selected stay and disclose data where required by law or to protect rights and security. Booking and booking-attempt details (stay, contact details, amounts and payment status) are also kept in a private Google Workspace spreadsheet used by our team to administer reservations. We do not sell personal information.
6. Data Retention
We retain chat, request, verification and transaction records only for periods proportionate to the purpose: while a request is active, for support and dispute handling where needed, and for applicable legal, accounting or reporting retention periods. We delete or anonymize data when it is no longer needed, unless law requires longer retention.
7. Your Rights
Under GDPR and applicable data protection laws, you have the right to: access your personal data, rectify inaccurate data, request deletion of your data, restrict or object to processing, data portability, and lodge a complaint with a supervisory authority. 8. Cookies and Tracking
We use cookies and similar tracking technologies to enhance your browsing experience. Essential cookies are necessary for the website to function. Analytics cookies help us understand how visitors interact with our website. Marketing cookies are used for advertising purposes. You can manage your cookie preferences through our cookie consent banner or your browser settings. When you open a page of aqua-vista-rentals.com without choosing a language, our server looks up the country of your internet (IP) address in a table kept on our own server, only to show the site in Romanian, Greek or English; the address is not stored or shared. The language you pick in the menu is remembered for one year in a cookie (avr_lang).
9. International Data Transfers
Your information may be transferred to and processed in countries other than your country of residence. When we transfer personal data outside the European Economic Area, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses approved by the European Commission.

We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. However, no method of transmission over the Internet or electronic storage is 100% secure, and we cannot guarantee absolute security.
